Your vendors are the people who will actually carry out your vision on the day. The right team makes everything feel effortless; the wrong fit creates stress you will feel in the photos. Here is how to choose well.
Photographer
You are not just buying images — you are buying a style and a temperament. Review full galleries, not just highlight reels, so you see how someone shoots an entire day, including the unglamorous middle hours. And meet them: this is a person who will be at your elbow from morning prep through the last dance. You want to actually like them.
Caterer
Taste before you commit, always. Beyond the food, ask about staffing ratios, dietary accommodations, and how they handle service flow. A caterer who asks you thoughtful questions is usually a caterer who will deliver.
Florist
Bring images, but also bring an open mind and your budget. A skilled florist can achieve a feeling within your means even when the exact stems you love are out of season or out of range. Ask what is in bloom for your date — local and seasonal is both more beautiful and more affordable.
Music
Band or DJ, the real question is the same: can they read a room and keep it dancing? Ask how they handle the flow of the evening, the announcements, the must-play and do-not-play lists. Entertainment is what guests remember most about whether a wedding was fun.
Questions to ask every vendor
- Are you available on my date, and do you hold a date with a deposit?
- What exactly is included, and what costs extra?
- Have you worked at my venue before?
- What is your backup plan if you are sick or have an emergency?
- Can I see a full, real example of your work — not just a portfolio's best three?
Trust the relationship
Contracts protect you, but relationships carry you. Choose vendors who communicate clearly, answer promptly, and make you feel heard. That instinct is rarely wrong.
